Minimum Qualifications High school diploma or high school equivalency diploma; and three years of experience in administrative support*, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
* Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
Duties Description The Administrative Assistant 2, Grade 15, will work in the Executive Office and will perform duties that include, but are not limited to:
• Providing administrative support to a member(s) of the Executive Office.
• Answering the telephone and giving information to callers, taking messages, and transferring calls to appropriate individuals.
• Greeting visitors or callers and handling their inquiries; or directing them to the appropriate persons.
• Opening, reading, routing, and distributing incoming mail or other materials and answering routine inquiries.
• Tracking and coordinating assignments.
• Typing and formatting letters, memoranda, session items, charts, reports, and other documents using Microsoft Office Suite.
• Reviewing outgoing correspondence for proper grammatical usage, clarity, factual correctness, compliance with policy and program information, and conformance to instructions.
• Maintaining confidentiality of documents, program operations, and written and verbal communications.
• Filing and managing deadlines, coordinating with Staff, maintaining calendars, and scheduling meetings, appearances, events, and conference calls.
• Making travel arrangements and preparing expense reports.
Using the Department of Public Service’s Document Matter Management (DMM) filing system.
Additional Comments This is an appointment to a position which is phi-tagged and in the non-competitive class. As such, the incumbent of the position is appointed and serves without tenure. Appointment to this position is contingent upon Division of Budget approval.
