Minimum Qualifications Required Qualifications:
The successful candidate must be reachable on the full-time, permanent Civil Service list for Administrative Assistant 1, or must have held the permanent title of Administrative Assistant 1 in the past or be eligible to transfer into the title.
OR
Appointment may be made at the Administrative Assistant 1 Traineeship level, (grade 8 or grade 10) leading up to Administrative Assistant 1, grade 11 title. Successful candidates interested in the Traineeship must have 1 year of service in a clerical title allocated to grade 6 or higher (e.g., Office Assistant 1). Successful completion of the traineeship requires taking eight courses in the following competencies: Professionalism and Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology. It must include instruction in each of the following topics: office organization and management; business writing; customer service; and Microsoft Word basics.
Preferred Qualifications:
Experience with Banner and Argos.
Duties Description Job Description:
· Assist the Chair in department operations including preparations of reports, class schedules, faculty searches, correspondence, and other materials required for the administration of the department.
· Serve as recording secretary at department meetings.
· Assist faculty and building occupants as needed.
· Assist students as needed and respond to telephone, email, and in-person requests for information.
· Maintain department budgets as well as reimbursable records and accounts, travel reports, and off-campus facility usage fees.
· Prepare and process orders for department equipment, supplies, and services.
· Monitor office supply and class equipment inventories and order items as needed.
· Assist in development of office procedures.
· Maintain department files.
· Maintain department website.
· Update published materials as needed.
· Receive and distribute departmental mail.
· Utilize University databases to locate information, search for students, place and remove holds, track student enrollment in majors and minors, etc.
· Input department course schedule to BANNER for each semester, process any schedule changes if needed, and work with various departments to maintain proper scheduling information.
· Work with ARGOS and other technology to gather data and create department reports.
· Assign students and faculty/staff lockers in the Chase Building.
· Maintain records of locker usage and ensure compliance with rules of locker usage.
· Schedule building requests utilizing the EMS calendar.
· Seek solutions to scheduling conflicts that arise within Chase.
· Communicate building requirements or changes within the building to affected parties.
· In addition to supporting the academic department, this department is housed in the Chase Building and works closely with the building supervisor (department chair) to oversee the facilities and help support the athletic staff who reside in the building.

The Department of Sport and Exercise Sciences offers majors in Sport Management and Exercise Science as well as a broad spectrum of courses for professional preparation in health and fitness and high school coaching. The department has minors in Sports Management and Athletic Coaching, as well as NYS coaching certifications and courses in theory and skill development.
