Minimum Qualifications CURRENT STATE EMPLOYEES:
Current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 11 or above and eligible for transfer under Section 70.1, 52.6 or 70.4 of the Civil Service Law.
70.4 Transfer: Candidates must have one year or more of qualifying permanent service at the Grade 11 or above AND possession of a bachelor’s degree; AND standing on the Professional Careers Opportunities (PCO) or Public Administration Traineeship Transition (PATT) eligible lists.
PCO Candidates: Individuals with a score of 100 or above on the Professional Career Opportunities (PCO) eligible list are encouraged to apply.
Successful completion of a two-year traineeship leads to appointment as an Administrative Specialist 1, SG-18.

Duties Description • Assist with Convention & Cultural Events (CCE) financial administration and operations utilizing the Statewide Financial System. Create invoices, requisitions, purchase orders etc.
• Assist in the preparation and administration of CCE's annual budget and financial plan.
• Assist in the management of Empire State Plaza Convention Center accounts payable and receivable. Monitor past due reports and resolve payment issues with vendors and clients, as needed.
• Maintain financial records and files tracking Convention Center revenue and expenditures. Ensure all documentation is accurate and stored accordingly.
• Assist with the CCE purchases of goods and services for the ESP Convention Center following NYS procurement guidelines. Draft justifications for purchase as needed.
• Draft permit usage agreements and contracts for events at the Empire State Plaza Convention Center.
• Provide administrative assistance to CCE management including scheduling, maintaining databases, drafting correspondence, special projects etc.
• Assist in CCE cash-handling operation including Summer at the Plaza beverage sales, ESP Visitor Center, and the Empire State Plaza Ice Rink.
• Perform additional tasks required for the planning and execution of all CCE events. Tasks may cover a wide range of responsibilities including, but not limited to, site visits, researching local artists and potential business partners, on-site event support, beer sale operations, coordination of performers and activities, coordination of deliveries, distribution of marketing, and assisting with vendor load-in and setup.
