Minimum Qualifications Current NYS employee with one year or more of permanent or contingent-permanent, competitive service as an Administrative Assistant 2 or Secretary 2, OR a NYS employee with one year or more of permanent or contingent-permanent, competitive service in a position allocated to a Grade 13 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
Preferred Qualifications: Proficiency with managing the State purchase and travel reimbursement processes via the Statewide Financial System; and with the Microsoft Office Suite, especially Outlook, Word, SharePoint, and Excel. Excellent customer service skills. Excellent oral and written communication skills, and ability to communicate with varying audiences. Demonstrated experience in navigating tracking databases used by the Department including Intertrac. Supervision experience.
Duties Description The successful candidate will report to the Director, Division of Operations, and provide administrative support to that Division and to the Center on a whole as part of a team-oriented infrastructure, including to the Bureau of Professional Credentialing and Centralized Complaint Intake Program. In this capacity, the successful candidate will manage the mail intake and distribution processes, including necessary logging and tracking to ensure accuracy and efficiency; submit travel reimbursement claims via the Statewide Financial System on behalf of several State staff positioned throughout the Center; coordinate the external purchasing of necessary supplies and equipment via a State-issued Purchase Card, and be responsible for all applicable reconciliation activities; will assist in coordination of Center-developed correspondence requiring executive review; supervise lower level and/or contract administrative support persons; and perform other tasks as assigned.
