Provisional Opportunity:
In order to be eligible for a provisional appointment, candidates must be a current New York State employee and have one year of permanent competitive or 55-b/55-c service as an Office Assistant 1 or one year of permanent service in a clerical, or keyboarding title allocated to Grade 6 or higher.

Candidates appointed provisionally must take the next Civil Service examination for this title and their score must be reachable on the resulting eligible list before they can be permanently appointed.

Candidates who do not pass the examination or do not achieve a reachable score may not be retained in the title. At this time, a date for the Office Assistant 2 examination has not been announced.

Duties Description The Office of Mental Health (OMH) is recruiting for multiple Office Assistant 2, G-9, positions.

Specific duties may include, but are not limited to, the following:

Create, organize, and maintain paper and electronic files including the scanning/faxing and photocopying of documents.
Receive, review, and distribute incoming mail.
Review and distribute outgoing correspondence, making sure that appropriate protocols are followed.
Maintain shared mailboxes in Outlook, by assigning, distributing, and filing emails.
Interacting in person, by phone, mail, and e-mail with a variety of individuals concerning Bureau activities and projects. Refer telephone calls to appropriate staff or supply appropriate information.
Accurately key data into various databases, software modules, Excel spreadsheets etc.
Use various computer applications to gather, compile, and prepare data from manual or automated files and other sources for various reports, publications, records, or other external or internal communications as requested.
Review forms and applications and make appropriate determinations.
Coordinating meetings, making travel arrangements, and maintaining scheduling and calendars for Bureau staff.
Maintain accounts for a major account clerical function and processing activities.
Visitor Screening and issuing of building keys to contractors.

Additional Comments This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Specific scheduled hours and telecommuting availability for this position will be discussed during the interview process. Please note, employees are required to apply and obtain approval through management to telecommute according to operational needs and Agency Telecommuting Program Guidelines.
