Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE MINIMUM QUALIFICATIONS:
There are no minimum education or experience requirements for this title. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
COMPETITIVE MINIMUM QUALIFICATIONS:
The selected candidate must be eligible for transfer under Civil Service Law or reachable on the appropriate eligible list for this title and location in accordance with the provision of Civil Service Law, Rules and Regulations.
*This title may require completing and passing a typing test.
Duties Description Ability to utilize Department issued software, including but not limited to: Microsoft Word, Microsoft Excel, and Lotus Notes to type and proofread work documents from handwritten and typed drafts for staff.
Open and distribute incoming mail; prepare outgoing certified and first class mail.
Ability to organize and maintain office files and reference library.
Ability to prepare training materials for use by professional staff during training.
Ability to arrange meetings for Director and staff: identify/secure location, send invitations/notifications to participants, gather and copy necessary materials.
Make travel arrangements for staff, including booking flights, making hotel reservations, arranging for car rentals.
Answer and screen telephone calls, direct to appropriate staff or take and refer phone messages.
Perform other routine clerical functions as directed by the supervisor or the Director. (i.e. photocopying, filing, etc.)
Meet the Department's time and attendance requirements.
Transcribe interrogations, prepare/type meeting minutes, and other duties as assigned.
