Duties Description The New York State Department of Labor’s Communications team is looking for a Project Coordinator - Administrative Assistant 2 with strong organizational skills, the ability to simultaneously manage multiple tasks and provide support for the divisions within communications. The DOL communications team is tasked with promoting the agency’s programs that support and protect New York’s workers and businesses.

As an employee of the Communications Office the incumbent completes the full range of operations and production projects as follows:
• Aide in the collection of pertinent information from program and the preparation of documents for program revisions and approval
• Serve as the liaison between program staff, other DOL Divisions, and other stakeholders.
• Review and oversee organizational policy, administrative and procedural manuals as required.
• Collect and analyze pertinent data to resolve organizational problems and assist managers in the resolution of these problems.
• Maintain calendar and meeting schedule for staff
• Review all correspondence and refer requests for information to the appropriate manager within DOL and maintain follow up systems for tracking
• Handle travel arrangements for staff
• Work with the staff in the preparation of required reports including monthly reports to the Executive Office
• Manage incoming phone calls and visitors for the Executive staff
• Review all correspondence submitted for signature
• Research information on behalf of the Executive staff
• Establish and maintains filing systems
• Draft correspondence as requested
• Other duties as assigned
Minimum Qualifications An associate’s degree or higher and at least one year of experience in administrative support*, which includes use of office software (e.g. email, word processing), provision of customer service, business writing, and management of an office. At least one year must have included supervision of administrative support staff.
OR
Three years of experience in administrative support*, which includes use of office software (e.g. email, word processing), provision of customer service, business writing, and management of an office. At least one year must have included supervision of administrative support staff.
*Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience

• Ability to initiate and maintain relationships across a diverse set of stakeholders.
• Strong verbal and communications skills
Additional Comments Position specific job duties may include occasional altered work schedule or job assignments which require availability and willingness to work occasional evenings and/or out-stationed assignments.
Candidates with no previous state service will begin at the starting rate of the salary range listed above.
