Duties Description The Administrative Assistant 1 Trainee will provide administrative support to the Office of Sexual Health and Epidemiology. The incumbent will perform a wide variety of administrative duties including, but not limited to, reviewing, preparing, and processing travel and purchase requests for staff across multiple divisions; preparing and tracking personnel documents; scheduling meetings and managing calendars; preparing and distributing reports; and maintaining workload tracking systems. The incumbent will also maintain efficient work flow; design and maintain electronic office filing systems; resolve day-to-day operations problems; answer and forward phone calls; sort mail; and modify and edit documents. Additionally, working with the Interstate Communication Control Record (ICCR) team with exchange of surveillance information with counterparts in other US states.
Assist with treatment verification of gonorrhea and chlamydia by corresponding with medical practices and physicians in the state.
Coordinate with the Bureau of Surveillance and Data Systems to sort and review interstate fax data received to ensure that it is distributed to the responsible county local health jurisdictions.
Minimum Qualifications Transfer Opportunity: Current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.
NY HELPS: Administrative Assistant Trainee 1 (Grade 8): High school diploma or high school equivalency diploma and six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.
Administrative Assistant Trainee 2 (Grade 10): High school diploma or high school equivalency diploma, and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
Administrative Assistant 1 (Grade 11): High school diploma or high school equivalency diploma; and two years of the above experience.
A certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.
The selected candidates must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Preferred Qualifications: Candidate should possess strong organizational, communication, and analytical skills. Must be able to work independently and as part of a team as well as handle multiple priorities in a fast-paced environment.
Additional Comments Full-time, contingent permanent appointment. Transfer Candidates may be asked for their social security number to verify eligibility.
Position may be filled at a trainee level (equated to Grades 8 or 10), or Grade 11, depending upon the qualifications of the candidate.
This position is part of the NYS HELPS program. No examination is required.
This position may require travel throughout New York State including overnights to areas not served by public transportation.
