Duties Description Process student immunization and tuberculosis records with 98% accuracy to ensure compliance with New York State Public Health Law 2165 and 2167, the UAlbany MMR Compliance policy and the UAlbany Tuberculosis policy. 30%
Requires knowledge of Public Health Law and rules governing what is acceptable.
Needs to be able to analyze data to ensure it meets the complex criteria for acceptance.
Perform data entry and data management using specialized medical records software package
Correspond with students when not in compliance or documentation is not acceptable.
Obtain documentation from New York State and New York City Immunization systems.
Accurate registration of a patient & verification process for enrollment status at SHS for appointment types using applicable software programs. 25%
Maintain privacy and professionalism in a busy waiting room.
Quickly determine type of appointment forms required
Maintain office records. Manages complicated medical records using specialized software ensuring adherence of the medical record system and processes. Timely and accurate scanning/indexing of all medical records to appropriate patient. 20%
Provides customer service support to patients and other UAlbany departments, answering questions requiring substantive knowledge of various federal, state, University and department rules, regulations, policies and procedures and problem solving within the scope of practice for an admin position. Consult with higher level staff as needed for problem resolution. 15%
Processes the medical release requests submitted ensuring HIV/mental health record/attorney requests include the necessary HIPAA language. 5%
Support office operations: inventory management, mail procedures, faxes and copying documents. Able to multi-task and prioritize at a demanding pace consistent with a dynamic fast-paced health care organization. Excellent organizational skills; plans work in an effective and accurate manner and manages a high output volume required by the health care organization;

Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):

One year of clerical experience.

COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):

Candidates must have a reachable score on the University at Albany Office Assistant 2 Exam List OR
Be a current NYS employee and have a current permanent appointment with 1 year of service as an Office Assistant 2, or in a title eligible to transfer to Office Assistant 2 OR
Be a former NYS employee eligible for reinstatement to the title of Office Assistant 2
