Duties Description The Office Assistant (OA) 1 is responsible for facilitating general correspondence and communications. This includes forwarding calls to technical staff and managing the Section voicemailbox. The selected candidate will be responsible for periodically checking and responding to or forwarding emails and faxes that are in the main Bureau email inbox, and receiving physical mail as directed. The incumbent will be responsible for functions associated with the processing radioactive materials applications, licenses, correspondence, inspection reports, and annual bills. This involves, timely hardcopy and electronic filing of communications and documents, as directed, and tracking of radioactive materials license actions, expirations, bills, inspections, and other correspondence using electronic and hardcopy file management systems as established by the Section.
The OA 1 will be required to mail bills, possibly assist with follow up on overdue/late bills, and assist with issuing refunds as applicable. They will also be asked to assist in or facilitate other responsibilities for tasks not specifically mentioned above to provide support to the Radioactive Materials Section and/or other program sections within the Bureau of Environmental Radiation Protection as directed. This includes compiling documentation for administrative tribunals (AT-10s) and Freedom of Information Law (FOIL) requests. This position is not primarily responsible for the routine work in those sections, but competency in those functions must be obtained in order to provide adequate support.

Reassignment or Transfer: Current New York State employee with permanent or contingent permanent, competitive status as an Office Assistant 1, Grade 6, OR a New York State employee with one year or more of permanent or contingent permanent, competitive, service in a title at or above Grade 4, and deemed eligible for transfer to Office Assistant 1, Grade 6, under Section 70.1 of the Civil Service Law.
Preferred Qualifications: The preferred candidate will be detail-oriented, technologically proficient, and competent in basic mathematics. They will also have strong written and verbal communication skills, excellent organizational skills, and experience working in a team environment. The preferred candidate will be able to also work independently on tasks where needed and demonstrate strong critical thinking skills when encountering issues.
