Duties Description The incumbent will report to the Office of Administration and Finance's Fleet and Facilities Unit. Duties include but are not limited to:
• Support the individual offices of the Division by anticipating and addressing all facility and fleet related issues.
• Serve as liaison with Office of General Services (OGS) Building Management.
• Place work orders and tenant alteration requests and track their progress.
• Manage records associated with maintenance, purchasing and apparel inventory control system.
• Communicate the status of fleet repair, work order and alteration projects to stakeholders.
• Collaborate with various DHSES programs on annual vehicle business case submissions.
• Coordinate with DHSES Administration and Finance on all procurements and information technology (IT) requests related to office moves and onboarding of staff.
• Oversee the receipt, sorting and distribution of mail and packages in compliance with mailing regulations and guidelines.
• Ensure timely completion of courier services as needed.
• Collaborates with OGS and DHSES management to address health and safety concerns.
• Serve as Chief Tenant Safety Organization Officer, tasked with scheduling trainings, and keeping records for the Tenant Safety Organization.
• Identify specifications for furniture and reasonable accommodation request purchases.
• Draft and implement of unit policies and procedures.
• Supervise subordinate staff.
• Assist as necessary with all fleet and facilities operations to ensure smooth operation.
• Participate in Green NY and work towards compliance with Eexcutive Order 22 sustainability and resiliency requirements.
• Maintain communication with DHSES upper management in the absence of the Fleet and Facilities manager.
• Other duties as assigned.
Minimum Qualifications Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 21 or above and eligible for transfer under Section 70.1 or 52.6 as appropriate of the Civil Service Law
Non-competitive Promotion:
If there are no more than three qualified candidates in the promotion field for this position, the agency will request approval from the Department of Civil Service to fill this position via a noncompetitive promotion (NCP) examination, pursuant to Section 52.7 of the Civil Service Law. In order to be eligible for the NCP, candidates must be in the direct promotion field, have had one year of permanent competitive or 55-b/55-c service as an Assistant Office Services Manager, Chief Clerk, Chief Mail & Supply Clerk, Head File Clerk, Public Buildings Manager 2, Property Manager 1, Property Manager 2, or Purchasing Agent, and must not have failed, or failed to take the last holding of the promotion examination for the title listed above.
Provisional Pending Examination:
If a viable eligible list does not exist, a provisional appointment may be made in accordance with Civil Service Law. Candidates who accept a provisional appointment must take the next competitive examination and be reachable on the resultant eligible list in order to be considered for permanent appointment to the position.
