Duties Description • Perform office administrative duties: filing, phone and office coverage, photocopy, etc.
• Review Diveristy/EEO mailboxes and directs to appropriate staff members
• Maintains Deputy Comptroller's calendar and provides to 15th floor weekly.
• Prepare Deputy Comptroller’s folders with documents needed for upcoming meetings/events.
• Communicate with Deputy Comptroller while in travel status and be easily available.
• Assist staff members when needed.
• Arrange for vendor exhibitor booths and displays at events including Black/Puerto Rican Caucus, SOMOS conference and other events as determined.
• Coordinate and organize OSC Diversity Cultural Events by securing dates for use of conference room on the 3rd floor and the equipment needed.
• Review and maintain event file folders.
• Serve as Division LAN Admin.
• Serve as Division Personnel Liaison.
• Serve as Division Business Continuity Plan Coordinator.
• Order all supplies for Division, maintain financial documentation and work with Deputy Comptroller on reconciliation of procurement card usage.
• Inform Deputy Comptroller on the receipt and due date of Division's End of Year Reports, Budget, and Internal Controls.
• Attend internal meetings and events on behalf of Division.
• Review and maintain OSC vacancy postings, add new postings retrieved from email received from HR to corresponding file in shared drive, include 1) email which contain item numbers, 2) actual job posting and 3) detailed postings to be checked daily so that our TOPS program has required information.
• Other tasks may be assigned as needed.
Minimum Qualifications Non-competitive
High school diploma or high school equivalency diploma; and three years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
** Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience

Additional Comments Knowledge, skills, and abilities:
Strong skills in the use of Microsoft Office products (Word, Excel, Power Point).
• Experience using the Statewide Financial System (SFS).
• Expertise of office and secretarial practices and procedures.
• Good written and oral communication skills; detailed oriented.
• Ability to set priorities, manage deadlines, and work independently.
• Ability to establish effective working relationships with a variety of people at all levels of the organization.
Telecommuting: The Office of the New York State Comptroller (OSC) supports telecommuting where it is reasonable to do so based upon the agency’s mission and operational needs. Generally, employees new to OSC will be restricted from telecommuting for at least 8 calendar weeks. After the initial 8 calendar week restriction, if an employee’s primary residence location, duties, and work performance are aligned with telecommuting and operational needs they may be allowed to do so. Generally, OSC employees may telecommute up to 5 days per pay period but may be approved to telecommute less
