Duties Description The incumbent of this position will perform the following essential functions:

· Manipulate an alpha numeric keyboard to effectively use a PC and appropriate
software.

· Create, type, edit, proofread and format documents, memos and letters as
well as generate reports and maintain records as needed.

· Create, organize and maintain files and logs, both electronic and paper based.

· Demonstrate a knowledge, understanding and correct application of office
procedures.

· Enter pertinent information into computerized data bases and case management
systems.

· Answer calls or direct to the appropriate staff member and take messages as
needed.

· Prepare certified and overnight mail, photocopy and scan documents, organize
large volumes of documents, send and receive faxes, type and perform other
routine clerical functions as required.

· Receive, open and distribute incoming mail, track documents and distribute
documents via e-mail or hard copy.

· Assist with maintaining the office archive files, including filing new files, retrieving
files at the request of attorneys, purging per records retention schedules, and
scanning.

· Follow Department rules and Division procedures and policy, including, but not
limited to; Code of Conduct, ethics practices, security and confidentiality rules.

· Adhere to the Department's time and attendance rules and regulations.

Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
Within a year of permanent appointment, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class examination for which they are qualified.
