Duties Description NYSIF seeks a Communications and Event Coordinator that will be responsible for planning, organizing, and executing events that support NYSIF’s mission across multiple departments. This role will be part of the communications, marketing, and customer service team. The ideal candidate will be a highly organized problem solver, who demonstrates the ability to work collaboratively across multiple teams.
Responsibilities include, but are not limited to:
• Work directly with NYSIF’s Executive Team, Communications and Marketing Department, and Client Relations Team to coordinate a variety of events including but not limited to external meetings and conferences with stakeholders and internal conferences for NYSIF staff.
• Work with Department of Administration staff on purchasing, requisitioning, securing locations, and promotional items.
• Serve as a main point of contact for all event logistics including communication with vendors, venue selection, room set-up, catering, and material preparation including coordinating with business leads to develop meeting agendas, providing day-of staff support for events including on site coordination, and food and event purchases.
• Coordinate and manage all audio/visual needs, including use of microphones, screens, presentation technology, and virtual platforms in conjunction with the communications and/or ITS team.
• Track event budget and all expenses, ensuring cost-effective planning and adherence to NYS procurement policies and executive orders.
• Develop and maintain detailed planning documents such as timelines, task lists, post event evaluation reports.
• Other duties as assigned.
Minimum Qualifications • Six years of business experience, including four years of customer service experience; OR
• An associate’s degree and four years of business experience, including two years of customer service experience; OR
• A bachelor’s degree and two years of customer service experience; OR
• A master’s degree or Juris Doctor (JD) and one year of customer service experience.
Preferred Qualifications:
• Experience in event coordination, meeting planning or administrative support with a focus on logistics.
• Experience in staffing, advance, and/or press coordination.
• Experience preparing briefing materials and written communications for staff and vendors.
• Excellent written and verbal communication skills.
• Established network of vendor or venue contacts or a willingness to research and build relationships with venues.

Additional Comments For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
