Duties Description This position is responsible for providing support for the Administrative Services Unit (ASU) staff in the processing of administrative tasks related to the agency’s fleet, grant contracts, victim compensation payments, purchasing, etc. The duties of this position include, but are not limited to the following:
• Perform routine clerical and processing activities, such as scanning documents, verifying accuracy of data, checking forms for completeness and accuracy, and logging receipt of documents.
• Create and update contracts, purchase requisitions, and purchase orders in the Statewide Financial System (SFS).
• Process payments for grant contracts and invoices for state operations expenses, including interagency invoices.
• Periodically review and audit contract and payment related transactions and perform related clean-up activities.
• Assist in the preparation, review, evaluation, and analysis of a variety of reports and other documents specific to the assignment.
• Maintain, update, and correct records and files associated with contracts, grants, fleet, supplies, and M/WBE requirements.
• Responsible for maintaining the agency’s fleet including scheduling routine maintenance and maintaining the reservation schedule. Duties include driving fleet vehicles for scheduled appointments.
• Assist in the development and updating of policies and procedures.
• Respond, in various forms (oral and written) to questions from the public or others concerning the operation of the unit or program area and/or to explain and interpret agency rules, regulations, policies, or procedures.
Minimum Qualifications Permanent service in this title or one year of permanent competitive service in a title SG-11 or higher and otherwise eligible to transfer under Section 70.1 of Civil Service Law.
