Duties Description The Director of Scheduling is a key member of a core team of professionals responsible for overseeing and coordinating all meetings, public appearances, and travel for the Governor. This person plays an essential supervisory, management and operational support role in the planning, designing, and executing of best-in-class events that drive top policy initiatives. The Director of Scheduling is responsible for supporting the Traveling Chief of Staff in managing and participating in activities in relation to the Governor’s schedule. The Director of Scheduling will work with Senior Staff and other teams across the Executive Chamber to ensure excellent execution of events.
Duties include, but are not limited to:
• Work closely with the Traveling Chief of Staff to coordinate and oversee all aspects of the Governor’s time and provide ongoing management support of the Governor’s calendar.
• Maintain positive relationships with the Governor’s office network and departments within the Executive Chamber.
• Participate in daily event meetings and calls and execute follow up assigned.
• Prepare agendas for weekly strategic planning meetings.
• Communicate with members of the Executive Chamber Senior team and various departments to ensure all meetings and events are effectively planned and managed.
• Coordinate with all relevant stakeholders, including event contacts, program staff and advance staff on Governor’s role, event program, and method of transportation.
• Liaise with the Governor’s Protective Service Unit (PSU) to ensure coordination in travel and schedules.
• Screen any internal scheduling request forms submitted for internal and external meetings and event appearances, and direct the flow of written responses.
• Provide continuous effort to improve operations, streamline processes, and work cooperatively and jointly to provide quality customer service.
• Manage the team that creates and distribute the Governor’s daily schedule, and monitor for changes, as necessary.
Minimum Qualifications
A Bachelor’s degree and minimum of 10 years of professional work experience. Previous experience managing the schedule for an elected official is relevant experience required. Additional relevant experience may substitute for a Bachelor’s degree on a year for year basis. Managerial experience preferred, and working knowledge of government operations in New York State is essential.
Additionally, the successful candidate should have the following knowledge, skills, and abilities:
• Proven ability to work independently and make sound judgments on a day-to-day basis, as well as make informed decisions on behalf of the scheduling team.
• Proficiency with both Google and Microsoft Office Suite.
• Ability to establish and maintain effective personal relationships with peers, supervisory staff, and other departments and agencies in a fast-paced environment.
• Display exemplary customer service and interpersonal skills.
• Ability to multitask and be detail oriented, and able to communicate effectively.
Additional Comments The position may be located in Albany, NY, or New York City, and will require routine travel between these offices. Non-traditional working hours and availability by phone as needed.
All positions within the NYS Executive Chamber require completion of a NYS Police background check prior to appointment.
