Duties Description Under the supervision of the Contract Management Specialist1, the selected candidate will perform tasks related to the operation of the Regional Purchasing Department. Duties include, but are not limited to the following:
• Assist in reconciling procurement card transactions and assigning charges to the correct facility
and funding source.
• Assist in compiling and preparing financial data related to utilities, reimbursements, staffing, refunds, and contracts.
• Assist in processing vendor requests for payment and assist Park Staff with verifying the accuracy of procurement records.
• Assist in creating and maintaining databases and assist with spending reports for the Region.
• Assist in auditing utility invoices and track payments and energy usage into the Agency database.
• Assist in approving vouchers, verifying all information is accurate, and responding to incorrect charges and coding in ESettlements.
• Assist in processing Direct Pays, interagency payments, and employee reimbursements.
• Assist in receiving orders, scheduling deliveries, ensuring delivery tickets match invoices for goods/services, and ensuring prices are accurate pertaining to State Contracts.
• Assist in regional auditing of parks – cash counts, floor checks, golf and camping checks, concession inspections, and compile reports.
• Other duties as appropriate for this title and position.
Minimum Qualifications There are no minimum qualifications per Civil Service.
Additional Comments This position has the option to join the NYS Employee’s Retirement System and may be eligible for health insurance, dental and vision coverage as well as the opportunity for paid time off in the form of vacation, sick, personal and holiday leave after time and service requirements has been met.
