Duties Description Duties include but are not limited to:

· Frequent, direct outreach by phone, email, and video call to plan and execute events and programs.

· Coordinate logistics for in-person events including, but not limited to, contract management, catering, A/V, signage, shipping, and on-site execution.

· Support strategic event planning in collaboration with the executive team and other stakeholders to align events with agency goals.

· Manage event budgets, vendor relations, and timelines to ensure projects are delivered on time and within budget.

· Partner with Creative, Communications, and other teams to deliver high-quality event collateral, signage, presentations, and digital assets.

· Oversee registration and attendee communication to ensure seamless participant experiences.

· Provide administrative support including invoice processing, mailings, calendar scheduling, travel coordination, and reporting.

· Ensure agency and brand standards are upheld across all event touchpoints and promotional materials.

· Track, manage and fulfill all promotional materials requests.

· Order promotional items, work with all stakeholders for successful production of items, and track inventory.

· Fulfill all NY Mobile ID marketing materials requests.

· Manage and order Marketing team supplies and collateral.

· Other duties as assigned

Minimum Qualifications To be eligible for the Marketing & Events Specialist (Civil Service title Public Information Specialist 1 or Trainee 1/2) position you must meet one of the following conditions as detailed below:

NY HELPS*:
Journey Level (Grade 18): Six years of experience in public or governmental relations, and/or in writing or producing content for various media.

Trainee 2 (Equated to Grade 16): Five years of experience in public or governmental relations, and/or in writing or producing content for various media.

Trainee 1 (Equated to Grade 14): Four years of experience in public or governmental relations, and/or in writing or producing content for various media.

SUBSTITUTION:
An associate's degree in media, new media, English, communications, journalism, broadcasting, public relations, films, TV productions, or digital marketing can substitute for two years of specialized experience; a bachelor's in these fields can substitute for four years; and a master's degree in these fields can substitute for an additional year of specialized experience.

*This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means NO EXAMINATION IS REQUIRED, but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, WITHOUT HAVING TO TAKE A CIVIL SERVICE TEST. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Additional Comments *** PLEASE NOTE: Must have the ability to travel overnight and work weekends during events. Event travel will result in occasional mandatory overtime. ***

· Strong grasp of ROI tracking and managing marketing/events budgets.

· Proven experience with high-quality event production.

· Possess outstanding attention to detail, and proficient in written and spoken English.

· Highly organized work approach and the ability to track, manage, prioritize, and execute many parallel projects while navigating shifting priorities.
