Minimum Qualifications
1. Two years of satisfactory secretarial experience OR
2. Satisfactory completion of a two year course in secretarial science from a business
school registered with the NYS Education Dept, from a NYS Community College or
technical institute recognized by the NYS Education Dept as following acceptable
practices OR
3. A satisfactory combination of 1 & 2 above
Operating Needs:
Experience with Microsoft Office Suite (PowerPoint, Word, Excel, Access, and Outlook) preferred
Duties Description Summer hours are 8 AM - 4 PM
Secretary 2 to the Vice President for Research (CSEA SG-15 Non-Competitive, Non-Permanent Eligible) is the principal administrative support for the Office of the Vice President for Research and reports directly to the Vice President for Research. Duties include but are not limited to: manage the Vice President’s calendar in an efficient manner, make complex meeting and conference scheduling arrangements involving multiple parties; organize / prepare work materials in preparation for meetings / conferences / projects; communicate effectively on behalf of the VPR on a variety of action items to centers, institutes, offices reporting to the VPR and the University administration and community; prepare, transcribe, compose, edit and distribute agendas and minutes of meetings; responsible for travel arrangements for the Vice President and VPR office staff, including conference registration, travel and hotel accommodations; reconciliation of travel statements and submission of vouchers for reimbursement of travel expenses; maintain office files and supply inventory; draft letters for review and signature, set up and maintain records maintenance systems; front desk operations (reception, greet walk-in guests, answer phones, respond to emails); oversee the coordination of the overall office paper / electronic work flow; assist in the organization of special projects and events; supervise and train support staff as applicable.
