Minimum Qualifications Applicant must pass a typing test and be able to accurately (96%) type 30 words per minute. Documentation must be provided that, within the last five years, you have been successful on a five-minute typing performance test. Documentation of the test results must be on official letterhead or an official notice of the results of a typing test administered by an acceptable source: Personnel offices of State agencies, county, city, town or village municipalities which administer the Type Test developed by the Department of Civil Service OR from a school, college, university or learning institution. Official test results from a high school, college or university keyboarding course*. Official test results from BOCES or EEOC program*.
Duties Description •Answering Bureau phone, directing calls, and managing responses to messages.
•Tracking key Division e-mailboxes. Based on supervisor’s direction, respond to emails or conduct some other work with the content of the emails.
•Assist in keeping supervisor(s) and their schedules running and on time and assisting in preparation of materials for meetings.
•Coordinating meeting logistics, including but not limited to scheduling, setting up webinars, entering meeting attendees into PassagePoint, making copies of documents to be distributed at meetings, typing up meeting notes, entering names into contact lists, reserving conference rooms, working with the mailroom to send meeting invitations.
•Coordinating travel logistics, including reserving conference rooms in regional offices, reserving hotel rooms and vehicles for staff. Completing staff expense reports.
•Preparing mailings of Division publications and tracking distribution of publications.
•Tracking and processing billing invoices, assisting in the purchase of equipment and supplies, assisting with budget spreadsheet tracking.
•Entering data into existing spreadsheets and databases.
•Adding content to the Division’s web pages.
•Scanning documents and filing electronically.
Candidates must be punctual, highly organized, and comfortable working on computers with an ability to learn new skills and software. Preferred candidate would be proficient in Microsoft Office including experience with Microsoft Word and Excel.
Additional Comments This is a seasonal, hourly appointment with a duration of 4/1/19 to 3/31/20. Program needs will determine actual termination date, which may be prior to termination dates indicated. Actual work schedule may vary and will be discussed at the interview.
