Minimum Qualifications Qualifications:
•Two years of satisfactory secretarial experience or completion of a two-year course in secretarial science from a business school or a satisfactory combination of the above.
•High level ability to communicate verbally and through written means
•Level of professionalism due to the potential for handling confidential financial and sensitive information and extensive interaction with senior staff within SUNY Administration and at the academic health centers
•Ability to supervise the activities of others independently
•Ability to work independently to resolve day-to-day operational problems.
•Must be proficient in Excel and PowerPoint to prepare charts and graphs from raw data
•Ability to handle several projects simultaneously
•Possess extensive research skills to accomplish high level tasks
Duties Description The State University of New York System Administration is searching for a Secretary 2, SG-15 (Non-competitive) for the office of Academic Health and Hospital Affairs (OAHHA). This position will provide a broad range of professional administrative support dealing with matters directly related to the Academic Health and Hospitals sector of SUNY.
Such support includes, but is not limited to:
•Supervision and coordination of the activities of office graduate students;
•Project management support to the staff;
•Staff and report on various SUNY-wide workgroups;
•Written and presentation materials to the Chief Officer and other executives within and outside the Office;
•Assist senior staff in collecting data and other research related materials; and,
•Concurrently provide office operation assistance.
•Assist in policy research on regional, state and national levels in areas of health workforce, hospital trends, and health issues
•Provide support in the collection of hospital data points, statistics and metrics
•Assist in the creation of online surveys and compilation of data in a clear and concise manner
•Prioritize, coordinate, and manage multiple simultaneous office projects, ensuring that staff are prepared to provide deliverables timely
•Assist in the creation and edit of PowerPoint presentations
•Create spreadsheets with appropriate data, as requested and assigned, providing organized statistical reports/graphs on collected data points
•Assist in the coordination and organization of bi-annual leadership retreats
•Provide general administrative functions of the office
•Other duties as directed by the Chief Officer, Associate Vice Chancellor, and/or the Executive Assistant to the Chief Office
