Minimum Qualifications Two years of satisfactory secretarial experience; or satisfactory completion of a two-year course in secretarial science from a business school registered with the New York State Education Department (SED), or from a New York State community college or technical institute recognized by SED as following acceptable educational practices; or a satisfactory combination of education and experience.
Duties Description The incumbent will provide administrative support for the Chief Administrative Law Judge and other Administrative Law Judges (ALJ) and manage the support staff in the Office of Hearings and Alternative Dispute Resolution. Duties include a wide range of administrative record-keeping and other support related to court reporters, intervenor funding, case status, calendar, travel, room reservations, personnel, and office supplies. The Secretary 2 will serve as a DMM gatekeeper to upload documents for filing, maintain party lists, manage staff assignments, and use DMM to access session documents for Chief ALJ or other ALJs participating in Public Service Commission sessions. The incumbent will also be called upon to type and format correspondence, rulings, notices, recommended decisions and orders, and transmit them to DPS Operations Office for issuance. The position’s duties also includes responding to telephone inquiries, including from outside parties, and directing calls as appropriate. The Secretary 2 will supervise other OHADR support staff in the performance of similar functions, coordinate work flow, and provide guidance and training as needed.
Additional Comments The ideal candidate should have excellent computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint programs; the ability to function independently; good written and verbal communication skills; considerable tact and discretion, including the ability to maintain confidentiality; be highly organized and able to multi-task with accuracy. Candidates should demonstrate skills in motivating and training subordinates and working with the entire office as a team player.
