Minimum Qualifications Two years of satisfactory secretarial experience or satisfactory completion of a two-year course in secretarial science from a business school registered with the New York State Education Department (SED), or from a New York State community college or technical institute recognized by SED as following acceptable educational practices, or a satisfactory combination of education and experience.
Duties Description The incumbent will provide administrative support for the Director of the Facility Certification & Compliance Unit, with duties that include, but are not limited to:
• Acting as liaison between the Director and Section Chiefs.
• Supporting the Director in managing and performing tasks necessary to implement policies and procedures related to electric generation projects, electric and natural gas transmission projects, utility vegetation management programs, etc.
• Scheduling meetings for the Director, maintaining his/her calendar and making travel arrangements.
• Reviewing the Director's outgoing correspondence and reports and making recommendations for proper grammatical usage, clarity, factual correctness, compliance with policy and program information, and conformance to instructions, while ensuring that appropriate background material is attached.
• Answering phone calls and referring questions concerning facility certification and compliance policy or procedures to appropriate staff members.
• Coordinating materials for reports/letters/memoranda and arranging for essential office services.
• Designing, implementing, and maintaining file procedures for the Director consisting of information relating to office personnel, correspondence, information from professional organizations, office budget data, administrative information, and Siting projects, such as those under Article 10, Article VII, utility vegetation management programs, etc.
Additional Comments The ideal candidate should have excellent computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint programs; the ability to function independently; good written and verbal communication skills; considerable tact and discretion, including the ability to maintain confidentiality; be highly organized and able to multi-task with accuracy. Candidates should demonstrate skills in motivating and training subordinates and working with the entire office as a team player.
