Minimum Qualifications EDUCATION & REQUIREMENTS:
Education Level Required: Bachelor’s degree.
Relevant experience required: Minimum of 3-5 years of experience in at least one of the following fields: economic development, government, planning, public administration, or related business or not-for-profit area, with proven project management experience
Knowledge Required: MS Windows and other MS applications for Word, Excel, Outlook, Publishing, WEBEX;
Excellent written, verbal, communication and interpersonal skills. Strong organizational and customer service skills. Meticulous attention to detail, solid judgement, independent follow through are highly important. Strong MS Word, Excel, and database management. Interest in pursuing a career in economic development and policy.

Duties Description BASIC FUNCTION: Assist and support the operations of Technical Assistance programs, with a primary focus on the Entrepreneurship Assistance Centers (EAC). Manage all aspects of processing grants and administrative support and work with program marketing and outreach. Assist with program design and policy discussions.

WORK PERFORMED:
Administrative - Assure efficient and timely flow of paperwork, filing and retrieval of information:
• Support active grants including review of applications, manage approval and funding process, prepare Grant Disbursement Agreements, modifications, budget line and salary changes, consultant contract approvals, amendments etc.
• Compile and review information and prepare directors approval documents and contracts
• Proper preparation, routing and filing of grant related paperwork i.e. respond to payment requests and inquiries and liaise with Audit & Finance
• Financial and budget reports: receiving, tracking, filing i.e. quarterly and final reports, payment requests, payments submitted and disbursed; payment checklists
• Assist Program Directors with payment requisitions, tracking and monitoring, contract preparation
• Track and report on program activity/status, and provide support to program participants
• Receive, review and submit payment authorization forms
Database - Perform data entry and report inquiries; report any issues to supervisor and IT:
• Responsible for management of EAC and related proprietary databases; assist grantees as needed
• People Soft vouchering of payment request once approved by Director and Department Head
• MSD (Microsoft Dynamics) database vouchered payment request forms & uploading proper documentation
• BMNY database – help train grantees on data entry and navigation
• Maintain project database and other tracking systems
• Coordinate with internal contacts preparation of board of directors’ approval materials, contracts, project status reports, and other documents appropriate for the review/management of projects
General
• Assume Department-wide responsibilities as assigned, such as conducting research, managing data etc.
• Make travel arrangements; prepare trip memorandum; submit expense reports; handle SFS responsibilities; set up meetings and make appointments; answer telephones
• Maintain assignment log and follow-up system; send reminders to ensure project deadlines are met.
• Handle document and report preparation, spreadsheets, coordination and production. Prepare presentation materials including power point, as needed
• Update and maintain SBD webpages in coordination with Digital Liaison
• Assist with reporting metrics, compile the quarterly and year end reporting for each of the program areas
• Prepare documents for hearings, testimony, coordinate responses to requests for input on bills
• Assist with Internal Audits and other compliance duties and reporting
• Coordinate Department marketing and outreach events. Work on speaking events, marketing and publicity. Ensure marketing collateral is distributed. Represent agency at events
• Coordinate with external partners on meetings, promotional events, and program specific projects as necessary.

• Assist with preferred source support and procurement council as needed
• Coordinate logistics and meetings of workgroups, advisory boards etc; attend or run meetings and appropriately track notes and action items
• Assist with designing, collecting and collating of surveys
