Minimum Qualifications MINIMUM QUALIFICATIONS:
Interested candidates must have at least three years of professional experience as an administrative support professional in an Executive office.
PREFERRED QUALIFICATIONS:
Strong organizational and interpersonal skills; professional and courteous demeanor; solid work ethic; team oriented; proficient with technology including PowerPoint, OneNote, and SFS.
Duties Description STANDARD DUTIES:
The duties of the Administrative Assistant encompass executive support and office administration roles. Duties include:
• Gather, organize and compile information as required, including data relevant to complex or unusual inquiries to assist Deputy Commissioner and Division executives to provide a basis for replies or decisions and/or draft the reply.
• Prepare reports using statistical and narrative information and utilize a variety of software packages in order to obtain necessary data. May analyze information and make recommendations.
• Prepare responses to inquiries from letters and phone calls, answer questions about activities, transactions, programs, policy and procedures; refer most complex technical questions to appropriate staff.
• Monitor and track status of specific program activities; follow up to see that appropriate information is being prepared and will be completed by the necessary deadline; prioritize and organize office workflow.
• Design, set up and maintain files of correspondence and documents, including electronic files, search for requested material and periodically purge obsolete material for storage in records center or for disposal.
• Review outgoing briefing documents, presentations and correspondence for proper grammatical usage, clarity, factual correctness, compliance with policy, program information and conformance to instructions. Ensure that appropriate background material is attached.
• Schedule and arrange meetings and conference calls; maintain calendars; assemble and coordinate background materials for meetings. Attend specific meetings and prepare a summary of the meeting’s conclusions or agreed upon courses of action.
• Make travel arrangements and prepare travel vouchers.
• Transmit instructions from Deputy Commissioner to appropriate staff orally, in writing or electronically and follow up to see that instructions are followed, and deadlines are met.
• Prepare PowerPoint slide presentations and handouts as needed.
• Update and manage OneNote.
• Review and verify certain staff timesheets for accuracy and appropriateness.
• Provide back-up coverage for other administrative support professionals.
