Minimum Qualifications Candidates must have excellent writing and communication skills. Two years of experience in a public affairs and/or marketing atmosphere as well as customer service skills and an interest in outdoor recreation, the environment and community engagement is a plus. Communications degree is preferred.
Duties Description The Public Affairs Specialist seasonal position will report directly to the Public Information Officer and will provide professional and staff support to the Public Affairs Bureau. The Public Affairs Specialist will be responsible for managing and facilitating a wide variety of administrative and public affairs duties involving but not limited to monitoring of customer service and media inquiries, verbal and electronic customer service response, marketing research, proofing and drafting press announcements, bureau travel reconciliation, general business office management, purchasing, oversight for parks press events, intern recruitment and supervision, website management, and maintenance of active statewide media list.
Specific Duties will include:
Administrative
1. Phones
2. Schedule Meeting Rooms/Times
3. Enter Visitors in Passage Point
4. Distribute Mail Daily; Pick Up/Distribute Checks every other Wednesday
5. Submit Vehicle Request Forms When Needed
6. Track / Send Updated Empire Pass & Access Pass Numbers
7. Business Cards for Albany and Peebles Island Staff
8. Recruit / Train / Supervise Student Interns
9. Reconciliation of Bureau Procurement Cards (2)
10. Expense Reports for Bureau Travel Charges
11. Track Outgoing Camping Guide / Park Brochure Numbers
12. Notes for State Council Meetings in Albany
13. Order Office Supplies When Needed
14. Administrative Support Team Meetings
Communications
1. News Clips
2. Monitor General Comment Inbox
3. Monitor Press Office Inbox
4. Update website
5. Lifetime Pass Tracking / Communications / Bonus Fulfillment
6. Proof / Send Advisories and Press Releases through Media Contact
7. Maintain Current Media / Pitching Lists through Media Contact
8. Draft letters from the Commissioner to various community/partner groups
9. Edit / Approve Regional and Agency Press Releases
10. Draft Events Feature for eNewsletter
