Minimum Qualifications Candidates must be current state employees and have a reachable score on the Office Assistant 1 (Keyboarding) list or
Have a current permanent appointment with 1 year of service as a Office Assistant 1 (Keyboarding) or to a title eligible for transfer to Office Assistant 1 (Keyboarding) or
Appointment as Office Assistant 1 (Keyboarding) here at UAlbany, less than 1 year of service, (remainder of probationary period to be completed in new assignment) or
Be a former state employee eligible for reinstatement to the title of Office Assistant 1 (Keyboarding). May be filled from a mandatory reemployment list if one is in effect at time of appointment.

Open to Civil Service 55 B/C candidates with appropriate documents

Duties Description 1. Answer phones and document incoming calls to the Facilities Management Operations Center in the AiM system
2. Triage calls as needed including the transfer of calls, creation of work orders in the AiM system and assigning WOs to the appropriate shop(s) for execution.
3. Monitor and review incoming customer service requests through the online AiM system and triage them as needed including the creation and issuance of work orders, communicating through phone calls, emails or radio to appropriate FM representatives as needed.
4. Represent a professional, knowledgeable, respectful, responsive and caring interface between FM and the campus community.
5. Assist 2nd shift staff with data entry and recording work in AiM accurately and completely entering data.
6. For key requests, send out notices when keys are ready for pickup. Input all keys on key wizard and dos system (LOCK UP), and file all key cards for tracking. No key pickup other than for shop 2nd shift shop personnel
7. Provide QA/QC for AiM data entries for 2nd shift staff, documenting ongoing and/or completed work orders: format, correct wo#, scope description, labor and materials and appropriate use of Types and Categories designations.
8. Follow up as needed with members of the campus community that have contacted the Facilities Management Operations Center, to gather needed additional information to document, understand and/or execute the CO or WO.
9. Run and share standard monthly performance reports with shop supervisor
10. Work as part of the Facilities Management team of professionals
11. Ability to use a Work Order System, Microsoft Systems and Programs i.e. Word, Excel, and Outlook
12. Address all emails dealing with facilities and non-facilities issues
13. Operate fax and copier
