Minimum Qualifications Three years of experience* in a secretarial or administrative support position. The ideal candidate will also possess:
• Proven organizational and administrative skills.
• Excellent computer skills, including proficiency in Microsoft Word and Excel.
• The ability to work both independently and as a part of a team and handle multiple priorities with tight deadlines.
• The ability to maintain confidentiality and demonstrate considerable tact and discretion.
• Strong oral and written communications skills.
*Substitution: Certification (such as the International Association of Administrative Professionals’ Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.
Duties Description The Administrative Assistant to the Commissioner, in the New York City Office, will primarily provide administrative and confidential services for the New York City based Commissioner(s) of the NYS Public Service Commission, including scheduling meetings, arranging travel, providing phone coverage, distributing mail, and organizing session and other supporting materials. The Administrative Assistant will secondarily perform duties that encompass the full range of secretarial support for the New York City office including, but not limited to:
• Typing and formatting letters, memoranda, and reports, and meeting required deadlines.
• Answering and screening telephone calls.
• Handling correspondence including preparing letters for Office of Consumer Services staff.
• Scheduling meetings.
• Arranging travel and preparing expense reports.
• Photocopying, faxing, scanning, and delivering documents.
• Maintaining and ordering supplies.
• Receiving, distributing, and sending mail, as necessary.
• Assisting with and making arrangements for visitors to the New York City Office.
• Coordinating office coverage with other support staff.
• Requesting services from Building Management, as necessary.
• Coordinating video conference services, as necessary.
Additional Comments Remarks:
Salary will be commensurate with experience. This is an appointment to a position in the exempt jurisdictional class. As such, the incumbent of this position would serve at the pleasure of the appointing authority. Appointment to this position is contingent upon Division of Budget approval.
