Minimum Qualifications
•Candidates must be current state employees and have a reachable score on the Maintenance Supervisor 3 list or
Have a current permanent appointment with 1 year of service as a Maintenance Supervisor 3 or to a title eligible for transfer to Maintenance Supervisor 3 or
Be a former state employee eligible for reinstatement to Maintenance Supervisor 3. Candidates may be expected to be qualified to use negative pressure respirators.

Duties Description
• Lead the training, empowerment and ownership of shop supervisors to manage in keeping with the full responsibilities and obligations of their Grades;
• Manage a large number of maintenance contracts; The Maintenance Supervisor 3 is the on-site lead for multi-year maintenance and support contract with multiple vendors/companies with annual spending of millions. Inspect work performed by outside contractors for conformance with project plans and specifications.
• Performance programs and evaluations of all shop supervisors shall include these general requirements:
o Maintain up to date individual performance programs and performance evaluations of staff;
o Dealing immediately and effectively in collaboration with ASU on staff performance issues;
o Report ALL work in AiM accurately and timely, including start and completion date and time, staffing, details of the work, material procurement and/or labor delays, etc.;
o Deploying and real-time utilizing of GIS, AiM, drawing archives, campus planning, design and construction standards in the field with hand held hardware;
o Ensuring the seamless coordination among supervisors to get their M&R work done;
o Promote working as one FM M&R team across trades, shop labels and shifts to efficiently and effectively get needed campus wok done - see or hear something, say and do something;
o Fully cooperate and coordinate with all other FM units including Heat and Chill Plants and Controls, Grounds and Custodial, EHS, Codes, AECM and so on;
o Lead efforts with ASU and HR to develop career development options for FM Trades Shop personnel;
o Ensure that all work is most efficiently and effectively completed to minimize the use of limited campus resources such as labor and materials;
o Support and positively communicate to staff the need to improve organizational and operational efficiencies;
• Provide service to the University (volunteer work, participation in campus events, etc.);
• Lead the development and implementation of metrics for measuring and evaluating M&R staff performance. Work with ASU to establish standardized dashboards for monitoring/managing all campus M&R work, and to establish a standard QA/QC survey tool to be administered at the completion of each work order;
• Ensure that all work is accurately documented in AiM. Routinely follow-up on M&R work orders to ensure they are completed and closed out. Review and approve time cards and leave requests of direct reports;
• Cut turnover of M&R staff by 35% in two years. Coordinate with ASU to establish a support and training program for all staff to further their development through existing programs and resources such as CSEA LEAP and specialized courses. Ensure that required staff certifications are kept up to date;
• Help ensure FM’s responsibility to our students, faculty, staff and visitors for a safe, pleasing, neat, clean, tidy and welcoming campus environment. Walk all campus facilities and shops on a monthly basis to ensure QA/QC. If you see or hear something concerning about FM staff or responsibilities, say/do something about it;
• Coordinate with other FM units and campus units to get work done, and serve as the single point of contact ensuring the availability of M&R resources to support: the timely turnover of all dorms, events, emergencies and other campus needs;
• Take a lead role in identifying, documenting, and preparing action plan(s) to address Capital Funding level critical M&R needs. Assist in planning the Empire Commons Rolling Budget Plan, the annual Capital and Dorm plans;
• Provide leadership, oversight, and approval on essential M&R procurements and establish a program for cyclical replacements of equipment and tools;
• Organize and reallocate staff, and leverage centralized FM resources for the most effective and productive use of resources;
• Provide sound professional judgement in advising and informing management at all levels within FM of work-related issues;
Work with ASU to develop a secured warehouse storage, inventory and distribution system for materials, supplies and tools: All supplies and tools used by shops shall be procured and inventoried in the FM Warehouse; Field shops shall pull all materials and equipment from the warehouse and each field shop shall only contain materials and tools needed for the given workorders to be executed in a given week; all supplies and equipment purchased and distributed for use shall be reflected in the inventory records of the warehouse and the AiM system tagged to specific workorders; Reconciliation of supplies and equipment inventory shall be completed once a year.
