Minimum Qualifications Must be reachable for appointment on the current NY State Civil Service canvass list for Administrative Assistant 2 at the SUNY Brockport location OR be transfer eligible.

Duties Description The Division of Advancement and the Office of College Communications are looking for an Administrative Assistant 2 to support leadership in both areas.

For Advancement:
Manages the Office of the VP’s travel, in conjunction with the Secretary to the President.
Manages details, minutes, packets, travel, meals, etc. for Brockport Foundation meetings.
Initiates and accurately processes all requisitions, credit card purchases, conferences, and travel needs for the Offices of Alumni Engagement, Campaign, Donor Relations & Stewardship, and Giving. This includes significant travel by the Office of Giving during the Comprehensive Campaign.
Supports Advancement initiatives around major events (such as Homecoming, Winter Gala, etc.), including facility reservations, event RSVPs, briefing sheets for Cabinet, outreach to donors/alumni, correspondence with sponsors, etc.

For College Communications / University Relations:
Initiates and accurately processes all requisitions and credit card purchases, monitors payment and receipt of material, and conducts monthly reconciliations.
Manages the collection and distribution of monthly Bravo Awards, as part of the Celebration and Communication Committee.
Reconciles and assists with the approvals of vendor invoices, including those for department expenses and advertising campaigns.
Creates and maintains the office budget spreadsheet, making sure that it is up-to-date and matches the SUNY SMRT System and marketing plan.
Arranges meetings, makes room reservations, takes minutes (as needed), arranges catering, and arranges photo shoots, and
Manages travel/conference arrangements for the VP and College Communications staff.
