Duties Description · Manage the procurement process for investment-related systems and services from end-to-end including RFP development and issuance, evaluation committee organization, required document generation, meeting scheduling and document retention.
· Manage all subscription, licenses and data provider relationships including working with business units to develop justifications.
· Act as liaison between PICM business units, Finance and Legal ensuring that all procurement matters are complete, accurate and documented.
· Assist in the development of a database for all contracts and agreements.
· Standardize procurement processes, document procedures and train staff.
· Monitor transaction communications and take appropriate corrective action to ensure accurate data flow between parties, including the custodian bank and PICM vendors.
· Working with asset classes, maintain and update approved signatory lists for custodian bank.
· Participate in the annual Form 6166 processing.
· Participate in the update of the Vendor List.
· Assist with preparation of materials for investment-related meetings and deal closing (e.g., IAC, signings).
Additional Comments Desired Competencies:
· High ethical standards and commitment to the fiduciary responsibilities of a pension fund
· Basic understanding of active trading processes and investment-related software and services
· Deep experience running procurement and RFP management processes
· Strong written and oral communication skills to assist with reports, presentations, and other internal communications
· Ability to meet deadlines, work under supervision, and take a highly detail-oriented approach to work
· Able to exhibit meaningful discretion and confidentiality when handling sensitive materials
Preferred Qualifications:
· Bachelor’s Degree
· 5+ years of corporate administrative experience, preferably in a finance-related organization
