Minimum Qualifications Required Qualifications:
-Bachelor's degree from an accredited higher education institution
-Two (2) years professional experience
-Excellent attention to detail, with ability to catch errors in spreadsheets, invoices, etc.
-Working knowledge of Microsoft Excel
-Excellent organizational, quantitative and communication skills
-Ability to forge collaborative relationships, work effectively in a team environment, and interact with staff and leadership at all levels of the organization
Preferred Qualifications:
-Experience working in accounting or finance-related field
-Experience with Business Intelligence tools
-Experience in a Higher Education setting
-Experience in NYS procurement, expenditure tracking and account reconciliation, accounts receivable tracking and collections
-Knowledge of SUNY Business policies, regulations and financial systems in SUNY, NYS and Research Foundation
-Knowledge of the SUNY System and experience working with campus staff
-Knowledge of SUNY University-wide services
Duties Description The State University of New York System Administration, located in Albany, New York invites applications for the position of Staff Assistant for Finance and Business. Under the guidance of the Business Manager, the Staff Assistant for Finance and Business is responsible for conducting all business-related activities including financial processing, tracking, reporting, and analysis of expenses, accounts payable, preparation of purchase requisitions/payments, and working with staff and vendors on payments.
Specific Duties and Responsibilities:
-Responsible for processing of all expenses for SUNY Online, the Office of Library and Information Services (OLIS), Open Educational Resources (OER), SUNY Library Services (SLS), and Open Access (OA).
-Assist with preparation and follow through to completion on procurements/contracts
-Complete purchase request approval forms (Machform)
-Review accounts in Business Intelligence tool (BI) for accuracy of expenses / overhead, etc., follow up on errors through correction
-Assist with monthly reconciliations, as needed
-Initiate all allocation moves and review allocation in BI for accuracy
-Oversee all shared accounts with campuses to ensure expenses are within allocation and follow up with program managers/PIs, as needed (IITG, OER, Shared Library Services, etc.)
-Make appropriate purchases on procurement card and complete monthly reconciliation
-Manage relationships with campuses and System Administration departments to facilitate financial transactions for all programs and services
-Perform all operations in compliance with SUNY and State financial / procurement policies
-Review all internal financial policies and procedures to identify opportunities for automation and process improvements
-Review all expenditures to identify opportunities for cost-savings
-Support and promote the organization's vision, mission, values, culture and goals as well as the decisions and activities of the senior staff
