Minimum Qualifications Open to NYS employees with one year of permanent competitive service as an Administrative Specialist 1 OR in a title G-16 or above deemed administrative under Section 52.6 of the Civil Service Law OR in a title G-16 or above appropriate for transfer under Section 70.1 of the Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

Also open to NYS employees in a title designated appropriate for Section 70.1 transfer to the title of Administrative Specialist Trainee 1 or Administrative Specialist Trainee 2.
Candidates with at least one year of permanent competitive service in a title allocated to G-11 or higher who have standing on the PCO or PMI eligible lists, or who have a bachelor’s degree and are active on the PATT eligible list may be eligible for transfer under the provisions of Section 70.4 of the Civil Service Law.
Candidates eligible for consideration under the Governor's Program to Hire Persons/Veterans with Disabilities pursuant to Section 55-b/c of the Civil Service Law will also be considered. Individuals certified eligible for the 55-b/c program must possess a bachelor's degree to meet the education qualifications. Salary range above applies to candidates appointed to Administrative Specialist 1, G-18. The hiring rate for candidates appointed to Administrative Specialist Trainee 1 starts at $45,617 and is based on the candidate's salary at the time of hire. Candidates hired into the traineeship will be advanced to Administrative Specialist 1 upon the successful completion of a two-year traineeship.

Duties Description Under the direction of the Chief Audit Executive within the ITS Office of Internal Audit, the Administrative Specialist 1, will provide professional administrative and project level support to the director and the Internal Audit, Quality Assurance, and Continuous Audit teams.
Specific duties include, but are not limited to:
• Assist the Chief Audit Executive in discharging daily duties such as taking meeting minutes, managing calendar, meeting coordination, reviewing incoming calls and correspondence, assembling briefing and background material for executive level meetings, and drafting responses as assigned.
• Provide administrative and project level support for 15 staff members across our Internal Audit and Quality Assurance teams.
• Develop and maintain our departmental Record Retention Policy.
• Act as Human Resource liaison on behalf of the Chief Audit Executive.
• Research available Continuing Professional Education trainings and conferences for Internal Audit staff.
• Administer the Audit Management Software (TeamMate) for the Office of Internal Audit.
• Perform data analysis, script creation, remediation tracking, regulatory monitoring, and external audit support for our Quality Assurance group.
• Update Audit report file system.
• Arrange travel for the director and staff using the Statewide Financial System (SFS).
• Initiate and track all departmental technological issues in Enterprise IT Service Management System (ITSM).
• As the department procurement card holder, maintain responsibility for purchasing, inventorying, and reconciling within the Statewide Financial System (SFS).
• Coordinate with ITS management and other staff on various assignments and projects on behalf of the director.
• Research issues where necessary; prepare documents and follow up with staff on assignments when necessary.
• Document and track annual performance evaluations, probationary reports, and training requirements through the Statewide Learning Management System (SLMS).
• Manage candidate interview process and prepare hiring packages.
• Manage the development, design, and maintenance of the departmental SharePoint intranet site.
• Serve as backup to other executive assistants.
