Minimum Qualifications MINIMUM QUALIFICATIONS:
Reachable for appointment to Trainee 1 level on the current Civil Service eligible list used for filling this title; one year of permanent, competitive class service as an Administrative Specialist 1; or one year of permanent, competitive class service in a title eligible for transfer under Section 70.1 or 52.6 of the Civil Service Law.
Titles eligible for transfer to the Trainee 1 level include but are not limited to: Administrative Assistant 1, Office Assistant 3, Program Aide.
Titles eligible for transfer to the journey level title include but are not limited to: Human Resources Specialist 1, Senior Administrative Analyst, Training Specialist 1.
Duties Description The Administrative Specialist 1/Trainee 1/2 maintains contract compliance files regarding recurring required documents (insurance certs, consultant form B, etc), maintains security guard licenses, handles supplier data entry and bank/EFT entry for Oracle suppliers, manages the unit’s three shared mailboxes, assists with purchase orders, processes all business card orders (statewide). Additional duties include, but are not limited to updating the contract data bases, back up for the mailroom operation, answering phones, assisting with vendor responsibility, administrative reviews (searches) and other ad-hoc administrative projects as required. The Administrative Aide also assists with administrative functions in the executive reception area.
