Duties Description Provide administrative support as assigned to Division Direction, the Bureau of Contracts & Grant Development, the Bureau of Budget Services, and other areas of Fiscal Management as assigned. Check in with leadership of these areas regularly to confirm assignments, expectations, and priorities. Comply with all mandated trainings and foster good communication among co-workers.
Supervise and train lower level administrative staff. Review workload and assignments for satisfactory completion. Ensure in-office coverage. Train and seek assistance and guidance on priorities as needed.
Maintain tracking of various administrative assignments and alert stakeholders when activities being tracked are not advanced in a timely manner or are aging out of a process. Could include published reports, contract / federal grant routing, journal vouchers, attachment a's (B-1184), Deployable Asset Tracking (DPAT), Budget error log administration, standby pay rosters, and various other workflows built into sharepoint or other workflow / shared cloud softwares, etc.
Coordinate information flow as liaison among Executive staff, Division & Regional Direction, DEC employees, other state agencies, and the public. Assist in maintaining key contact information for Division leadership and periodic review of key Agency Leadership contacts for purposes of proofreading and preparing Divisional correspondence. Work within the Direction group to ensure coverage for all physical in-office needs with minimal lapses. This includes movement of physical paperwork to and from our Division via mail or intra-office mailboxes. Written correspondence is screened for no errors in established formatting standards.
Assist in purchasing various supply needs or making payment for other approved division spending. Use and reconciliation of purchase card is timely and records are complete and follow all procurement procedures. Payments are made in a timely manner upon instruction to do so.
Provide telephone coverage of the main lines for Division Direction, Budget, and Contracts. Screen and connect calls instantaneously, or provide messages to employees of these bureaus via email within 10 minutes of a call.
Office supplies are stocked and shared equipment is monitored for any service or replacement needs. Invoices following all appropriate procedures and approvals.
Minimum Qualifications Reassignment - Currently in the title and an employee of DEC
or
Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.
or
Transfer Eligible - One year of permanent competitive service at Salary Grade 13 or higher and:
Eligible for transfer under Section 70.1: Permanent competitive service as an Administrative Assistant 2, Accountant Aide, Program Aide, Business Document Specialist 3, Head Mail & Supply Clerk, Head Stores Clerk, Legal Assistant 1 and Trainee 2, Office Assistant 3, Office Assistant 3 (Calculations), Office Assistant 3 (Human Resources), Payroll Examiner 2, Payroll Specialist 2, Principal Data Entry Machine Operator.
Also any language parenthetic for the above titles. You will be required to demonstrate proficiency in keyboarding. Additional titles which qualify can be found on the Department of Civil Service website, search "GOT-IT."

For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
