Duties Description • Under supervision of Convention and Tourism Specialist 1, schedule and coordinate space use at the Adam Clayton Powell, Jr. State Office Building (ACP).
• Verify program requests from clients and event organizers for date and space availability, confirming the scope of the event and program needs, coordinating catering needs, logistics and event support services.
• Review assigned applications and reach out to clients to collect letters of intent, certificates of insurance, county health permits and any other pertinent information/documentation required per policy.
• Prepare event program sheet documenting all information necessary to the event and share with supervisor prior to sharing with appropriate building support departments within acceptable time parameters.
• Act as on-site event coordinator for assigned events.
• Ensure requested and scheduled support services are provided from building staff and contractors throughout the planning, setup, and duration of the requested event.
• Assist the CCE team by performing tasks associated with the physical set up of the Harlem Plaza events including but not limited to Summer Stage in Harlem, Harlemween and the Harlem Tree Lighting.
• As directed, provide support to events happening at other downstate/NYC area OGS-managed State facilities as needed.
• Perform additional administrative and operations support tasks as needed.
Operational Needs:
• Mandatory weekend and overtime hours apply.
Minimum Qualifications Four years of experience involved with coordinating and/or scheduling events in a hotel, conference facility, sports arena, cultural institution or entertainment venue. Experience may include scheduling multi-event facility usage; coordinating equipment and support services; public relations; or sales and marketing events.
Substitution: A bachelor’s degree substitutes for three years; associate’s degree for two years.
NOTE: IN ORDER TO AWARD THE PROPER CREDIT FOR WORK EXPERIENCE, RESUMES MUST INCLUDE MONTH AND YEAR FOR START AND END DATES. IF ANY OF THIS EXPERIENCE IS LESS THAN FULL TIME YOU MUST INDICATE THE AVERAGE NUMBER OF HOURS WORKED PER WEEK.
