Duties Description The Office Assistant 3 position will support the Regulatory Fee Unit within the Bureau of Revenue Accounting by assisting with timely invoicing and collection of Regulatory Fees in accordance with both NYS Finance Law and ECL.
Essential functions of this position include:

• Extensive use of the New York Statewide Financial System (SFS) to conduct a variety of accounts receivable and customer account management functions, and, in response to DEC’s recent implementation of SFS, ongoing testing and evaluation of existing and newly implemented functions.

• Effectively communicating with and assisting the general public or internal staff with various inquiries via telephone, mail, and email.

• Monitoring and responding to the Unit’s shared email box.

• Monitoring and processing our online Portal Registration form and addressing any transaction errors.

• Managing bank alerts and taking appropriate, immediate action to ensure seamless processing of payments.

• Collecting and reviewing deposit documentation to process the daily bank deposit.

• Independently researching and managing customer accounts to identify collection or refund activity.

• Creating, utilizing, and updating various spreadsheets and forms in Excel, Microsoft Word, and Adobe Acrobat.

• Preparing, delivering, and retrieving mail.

• Analyzing large volume of returned mail and taking appropriate action.

• Providing direct support to the Regulatory Fee and Revenue Accounting units as needed.

• Supervision of lower level staff

Minimum Qualifications Reassignment - Currently in the title and an employee of DEC
or

Reinstatement Eligible - Previously held the title on a permanent
competitive basis or held a title as indicated under the transfer
eligible section on a permanent competitive basis.
or

Transfer Eligible - One year of permanent competitive service at
Salary Grade 12 or higher and:

Eligible for transfer under Section 70.1: Permanent competitive
service as an Office Assistant 3, Office Assistant 3 (Calculations),
Accountant Aide, Program Aide, Business Document Specialist 3,
Data Processing Clerk 3, Energy Assistance Review Supervisor,
Legal Assistant, Pathology Office Assistant 2, Payroll Examiner 3,
Office Assistant 3 (Human Resources), Secretary 2. Also any
language parenthetic for the above titles. Additional titles which
qualify can be found on the Department of Civil Service website,
search "GOT-IT."
