Duties Description The incumbent will be assigned to the Business Office within the Office of Budget and Finance and will report to the Senior Budgeting Analyst. Job duties will include, but are not limited to:
• Supervising the Office Assistant 2 (grade 9) staff. This includes providing ongoing training and staff development activities, assigning work to staff, and monitoring compliance with DCJS and control agency policies and procedures.
• Maintaining oversight on mailboxes for travel, NET, and procurement cards ensuring all items are addressed and responding to inquiries from travelers, program areas, staff, etc.
• Maintaining oversight on administration of travel, NET, and procurement cards including deactivating/suspending cards, updating cards, and adjusting card limits.
• Reconciling travel, NET, and procurement card transactions and credit card statements.
• Conducting oral and written communications with vendors and agency program staff, for the purpose of providing and requesting information, resolving issues, and explaining or interpreting procedures.
• Assisting in the oversight of the Accounts Payable Team by reviewing tasks completed by subordinates, reviewing and updating procedure manuals and other training materials, responding to voucher inquiries from control agencies, etc.
• Auditing and processing travel vouchers and executive invoices.
• Providing training and assistance to travelers, vendors, program areas, and Business Office staff.
• Running reports in Oracle and SFS.
• Completing petty cash replenishment when needed.
• Handling other projects assigned by supervisor or management, as needed.
Minimum Qualifications Permanent service in this title, or one year of permanent competitive or 55-b/c service in a title SG-12 or higher and otherwise eligible for transfer under Civil Service Law.
Preferred Qualifications: Ability to work independently and as a team member with strong attention to detail and accuracy along with strong mathematical skills; good verbal and written communication skills; familiarity with Oracle Financial Management System and/or the Statewide Financial Systems (SFS) is preferred.
