Duties Description Administrative Assistant 2 duties include but are not limited to:

• Assist the Internal Audit Director with administrative needs including but not limited to: calendar updates, meeting agendas, monthly reports, ordering supplies, travel arrangements, and receive, coordinate, and send Bureau correspondence.
• Multi-task and prioritize assignments; organize workload and files for all assignments.
• Be detail-oriented and follow through with all aspects of assignments through completion.
• Use and update various databases and/or spreadsheets for tracking.
• Exercise good judgment as well as maintain confidentiality of information.
• Maintain confidential documents, information, and files in both electronic and paper formats.
• Communicate effectively via telephone, email, correspondence, face to face, etc. with a variety of individuals including supervisor, managers, union personnel, other agency personnel, staff, and the public.
• Submit and track Help Desk tickets.
• Update and proactively monitor the Bureau’s intranet pages to ensure the information is current.
• Review incoming correspondence and reports to determine their significance. Make recommendations to manager or refer to appropriate person for reply.
• Gather data relevant to complex or unusual inquiries to provide a basis for a reply or a decision and/or draft the reply.
• Answer the telephone or assist employees in-person by responding to questions concerning policy or procedures and referring to appropriate staff member for very technical information.
• Assist with office recruitment, personnel paperwork, and other Staffing duties as necessary.
• Be available for office phone coverage.
• Create and maintain office procedures, create various reports, spreadsheets, and charts to assist bureau directors in their administration of the bureau.
• Meet the Department's time and attendance rules and regulations.

Minimum Qualifications The selected candidate must be eligible for transfer under Civil Service Law or reachable on the appropriate eligible list for this title and location in accordance with the provisions of Civil Service Law, Rules and Regulations.
