Location: Albany, NY
The Onboarding and Recruitment Assistant is an entry level role within the Human Resources office
responsible for personnel transaction data entry, processing, and tracking; processing onboarding
paperwork, as well as entering/managing employee information in various personnel systems. The
incumbent will also help manage employee recognition programs.
Duties:
? Process personnel transactions in accordance with Civil Service Law, State Finance Law and
applicable rules, regulations, and directives and sends all official transactional notices to
employee.
? Manage, update, and maintain all HR Smartsheets (including Onboarding pipelines, Offboarding
trackers, Active Employee Rosters, and Training Trackers) to ensure 100% data integrity and
cross-departmental alignment.
? Maintain accurate, up-to-date employee records strictly related to training, compliance, and
engagement programming.
? Assist with the logistical scheduling of Monthly Chamber Orientations, including room bookings,
technology setup, and calendar invitations for new hires.
? Manage post-orientation follow-up logistics, including distributing resources, policy links, and
tracking the timely completion of mandatory 30-day onboarding milestones.
? Compile monthly new hire and promotion bios for distribution to all staff to promote internal PR,
connection, and organizational culture.
? Organize, track, and distribute the Employee Certificate process to recognize milestones and
achievements.
? Manage administrative offboarding logistics.
? Assist with recruitment logistics, including posting vacancies to internal/external job boards,
coordinating interview panels, and managing professional candidate correspondence (status
updates and regret notices); as needed.
? Support Applicant Tracking System (ATS) Management, including uploading
interview documents, organizing cover letters, and assisting with baseline resume reviews and
candidate follow-ups; as needed.
? Draft official Appointment Letter and Notice of Employment document for review to be included
with onboarding notification and checklist to new employees.
? Other duties as assigned.
Minimum Qualifications Minimum Qualifications:
Bachelors degree preferred, or an equivalent combination of education and experience. Ideal candidates will have experience in the administration of a benefits, personnel, and/or payroll program for a government-based organization.
